This Privacy Policy explains how MAIR Care Inc. ("MAIR Care," "we," "us," or "our") collects, uses, discloses, and protects your personal information. It applies to our services at 60 Woodbine Ave., Toronto, Ontario; our website at maircare.com; and our booking, intake, consent, records, and payment systems. We are committed to protecting your privacy and to handling your information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA), Canada's Anti-Spam Legislation (CASL), and applicable Ontario law.
Because we provide hair-removal and skin services that involve your body, skin, and health history, some of the information we collect is sensitive. We treat all health-related information with a heightened standard of care. MAIR Care is the organization accountable for the personal information in its custody or control.
Personal information means information about an identifiable individual. It includes your name and contact details, your health and treatment information, images of you, and records of your dealings with us.
Sensitive personal information means information that carries a higher risk of harm if disclosed, including health and medical information and images of your body. We apply stronger safeguards and, as a rule, obtain your express consent before collecting or using it.
Clinical images means photographs or video of a treatment area taken to plan, document, or assess a treatment (for example, before-and-after images).
MAIR Care has designated a Privacy Officer who is accountable for our compliance with this policy and with privacy law. Any question, consent change, access request, correction, or complaint about your personal information can be directed to the Privacy Officer using the contact details in the final section of this policy. We remain responsible for personal information transferred to a service provider for processing on our behalf.
We collect only the information we reasonably need to provide safe, effective, and lawful service. Depending on how you interact with us, this may include the following.

We identify the purpose for collecting your information at or before the time we collect it. We use personal information to:
We obtain your consent to collect, use, and disclose your personal information, except where the law permits or requires us to act without it. For health and treatment information, we obtain your express consent, typically through a signed intake and consent form before your first relevant treatment. For everyday, non-sensitive purposes such as booking, your consent may be implied by your request for service.
You may withdraw your consent at any time, subject to legal or contractual limits and reasonable notice, by contacting our Privacy Officer. Withdrawing consent for information we need to treat you safely may mean we can no longer provide some or all services. Withdrawal does not affect processing already carried out, or records we are required to keep.
Clinical images are optional. We will only take them with your specific, informed consent, and we will tell you the purpose (for example, to plan treatment or record progress). Separately, and only if you expressly agree in writing, we may use de-identified images for training or promotional purposes; you may decline this without affecting your treatment, and you may withdraw a promotional-use consent at any time for future use. Clinical images are stored with the same safeguards as your other health information and are not posted publicly without a separate written release.
We send service messages related to your appointments (such as confirmations, reminders, and aftercare) as part of providing the service you requested. We will only send you promotional electronic messages with your consent, as required by Canada's Anti-Spam Legislation. Every promotional message includes a simple way to unsubscribe, and we honour opt-out requests promptly. You can also change your communication preferences by contacting us.
We do not sell your personal information, and we do not share it for third-party marketing. We disclose information only as needed to run our practice and as permitted or required by law, including to:
We use reputable service providers to help us operate, such as payment processing (Square), booking and intake or form tools, secure data hosting and document storage, and email and messaging services. These providers process information only for the purposes we authorize and under contractual confidentiality and security obligations.
Some service providers may store or process information outside Ontario, including in the United States, where it may be subject to the laws of that jurisdiction, including lawful access by foreign courts, law enforcement, and regulatory authorities. We take reasonable steps to ensure any provider protects your information to a standard comparable to this policy. You may contact our Privacy Officer for more information about our providers and their locations.
We use physical, organizational, and technological safeguards appropriate to the sensitivity of the information. These include restricting access on a need-to-know basis, secure and access-controlled electronic records, encryption of information in transit, secure storage of paper forms, and secure disposal. Access to health, treatment, and clinical-image records is limited to the practitioner and, where necessary, the Privacy Officer. No system can be guaranteed perfectly secure, but we work to protect your information and to respond promptly if an issue arises.
We keep personal information only as long as necessary for the purposes described in this policy and to meet our legal, professional, insurance, and tax obligations. We retain treatment and consent records for at least ten (10) years from your last treatment, consistent with the standard applied by regulated health professions in Ontario; where the client was a minor, we retain the records until at least ten (10) years after the client reaches the age of majority. When information is no longer needed, we securely destroy, erase, or anonymize it.
You have the right to ask what personal information we hold about you, how we use it, and to whom it has been disclosed, and to request a copy. You may also ask us to correct information that is inaccurate or incomplete. To make a request, contact our Privacy Officer. We will respond within the time required by law (generally 30 days) and will verify your identity before releasing information. In limited cases the law allows us to withhold certain information; if so, we will explain why, to the extent we are able.
We rely on the information you give us to keep you safe, so please keep your contact details, medical history, and medications up to date and tell us about any change that could affect your treatment.
We maintain procedures to detect, contain, and investigate privacy incidents. If a breach of security safeguards involving your personal information creates a real risk of significant harm to you, we will notify you and report to the Office of the Privacy Commissioner of Canada as required by PIPEDA, and we will keep records of breaches as the law requires. We will act to reduce the risk of harm and to help prevent a recurrence.
Where we provide services to a client under the age of majority in Ontario, we require the involvement and consent of a parent or legal guardian, and we collect and use the minor's personal information only as needed to provide safe treatment and meet our obligations. We do not knowingly collect personal information from children through our website beyond what a parent or guardian provides in the course of arranging care.
Our website may use cookies and similar technologies for basic functionality and general analytics. Some pages embed third-party content, for example a customer-reviews widget and links to our social media. Those third parties operate under their own privacy policies. You can set your browser to refuse non-essential cookies.
Our website may link to sites we do not control, such as our booking provider, social-media pages, or partner businesses. We are not responsible for the privacy practices of those sites, and we encourage you to review their privacy policies before providing information.
We may update this policy from time to time. The current version, with its effective date, will always be posted at maircare.com/privacy-policy. Material changes will be reflected in the "last updated" date at the top.
